Theme Camp Grants for Burning Seed 2019

Happy winter solstice to all! Each day now is getting warmer and brighter as Burning Seed is getting closer and closer. The theme camp team has some important grant information that we wish to share with everyone. But first, we would like the congratulate the theme camps that were accepted as official theme camps for Seed 2019. This year we received a 20% increase in the amount of applications and we are so excited as we believe this year has the most unique and varied offerings from theme camps in Burning Seed history.

To keep theme camps growth sustainable (for a variety of factors) and to allow camps the room to fully realise their potential, unfortunately for the first time some applications were not successful this year. I am confident in and stand behind my teams collective decisions during the application process and that we all have the best outcomes for Burning Seed in mind during this process. The team is doing everything we can to allow these crews to still participate and we encourage camps to be welcoming with sharing their spaces.

Discretionary Grants

The theme camp team is excited to announce that applications for discretionary grants for theme camps will be opening on the 1stof July. As well as the returning theme camp grant, all theme camps will have the ability to apply for extra funding this year. The funds will be proposal based and chosen by the theme camp team at the end of the month based on the strength of the proposal and the perceived impact the funds will have on the paddock. Grants will be capped to a maximum of $1000 and the team has identified 4 categories of grants available as follows:

Art

Some of the most talented, passionate and creative people at Burning Seed can be found within the theme camp community. For this reason the theme camp team would like to help foster the creation of more art at Burning Seed via our theme camps. To date theme camps have not been able to access funding for art from the Org and by making funds available to camps via our team we hope we can begin to address this and demonstrate theme camps can and are creating some of the most engaging art out there.

Community Service

Theme camps have always been the focal point for interactivity at Burning Seed. Participatory events and gifts such as meals for participants, workshops and activities is one of the unique gifts that theme camps bring to the paddock. Whether it is breakfast wraps at Dirty Birds, massages at Detox or Splash making sure our hippies stay as clean as we can manage, theme camps continue to offer opportunities for community building, interactivity and participation. The theme camp team wishes to foster the growth of gifting such as this and to encourage greater variety on what is on offer at Burning Seed.

Infrastructure

Major infrastructure such as power generation and structures are some of the most important and expensive factors in the successful running of a theme camp. To assist in this the theme camp team would like to assist theme camps in procuring infrastructure that will elevate and extend what your theme camp has to offer. Addressing minimising our environmental impact on site is also an issue that our community is passionate about and in response to this we encourage camps to think of ways in which this can be addressed through upgrades, changes or sharing of infrastructure.

Newcomer Grant

The theme camp team is reserving $1000 to gift to one of our newer camps who has demonstrated that they ‘have the right stuff’ and have been identified as a camp that deserves support to grow and elevate what they are doing. It is our hope that with a significant contribution from theme camps to a newer camp in its earlier stages, we can help a new crew become an established and sustainable theme camp for years to come. The grant does not require an application and will be selected and announced at the same time as the other grants.

Grant Applications

The grant application window will open on the 1stof July and close on the 31stof July. Applications will be proposal based and the link to apply online will be available at the theme camp page at burningseed.com/themecamps. As the grants are discretionary, the success of your application will depend on the strength of your proposal, reasonable and understandable costing of the project and the perceived impact of the project to the overall enjoyment for all at Burning Seed. Distribution of funds will be decided by the theme camp team collectively once the application window is closed. Good luck to all and we cant wait to see what you have in store this year.

That is all for now from the theme camp team. A member from the theme camp teams has now reached out to all camps and we will be finalising paper work from all camps in the next few weeks. The placement team will also start the process of consultation with camps about their placement. The sooner theme camps can confirm early entry and directed ticket numbers, the sooner we are able to pass surplus tickets to other teams to encourage volunteering in roles such as rangers so if camp leads could please start thinking about ticket needs it would be great assistance to Burning Seed as a whole.

Urgent – Awesome Peeps Required for Ops Roles

The build teams are full to overflowing, the DPI pre-event crew is good to go, but we still have two crucial roles for which we require competent, passionate people. It’s true these roles require a fair amount of commitment, but you’ll be part of a hard-working, hard-playing tight-knit community and a major contributor to one of the most important teams on the paddock. You’ll see the Burning Seed magic come together from scratch, and know you were an important part of making it happen.

Operations Facilitator 2IC

This role is year-round, and requires learning from our current Ops Facilitator with a view to stepping into the lead position in the future. You’ll spend at least two weeks on-site before or after the event (more if you can) and shadow Kali as site manager on at least one shift. As lead in the future, you’ll attend the facilitators’ meetings and be a major player in organisation of the event. As 2IC you’ll be trained in all aspects of Operations, so you can step in and help any team that is struggling, or step up and help when things that go wrong. Ops Facilitation is basically project management – keeping track of everyone doing their things.

This role is crucial to the running of Burning Seed. It’s high-responsibility, high-commitment, and high-satisfaction.

DPI Contractors Manager 2IC

The Contractors Manager handles everything to do with contractors. They get requirements from the elicitations officer and other team leads, obtain quotes, and book all the equipment and contractors. You’ll be fairly busy around June and July and also spend about 6 weeks onsite, but apart from that, this job is low commitment for the rest of the year. You’ll do one or two shifts on-site during the event as a team member of DPI.

What else?

Being on-site is a special experience. There’s nothing like seeing the city appear from the ground up, and knowing you’re an important part of it happening. Believe me, the cold beer at the end of the day will never taste as good as this!

You’ll get three meals a day from Burning Seed’s amazing kitchen crew, hot showers in the Stockade, and an experience you’ll never forget. Apart from that, if you have an interest in pursuing project or event management, this is a great opportunity to get experience in a hands-on role.

Ticket Date Announced!

Holy Cow! This is no time to be sheepish. Tickets for Burning Seed 2019 : Zoophemism will be on sale soon. They won’t be selling at a snail's pace so make sure you read on for all the juicy details. This years burn will be a hoot!

All the ticket info:

  • Tickets go on sale Friday 17th May at 7pm AEST

  • If you have purchased a ticket in the last few years you will already have a Burner Profile but will need to update it before buying your ticket this year

  • If you don’t have a Burner Profile you’ll need to create one before buying your ticket

  • The name on your Burner Profile & Ticket MUST match your photo ID

  • Burner Profiles can be created/updated now at http://qkt.io/seed19

  • No changes to the prices for 2019 - Adult: $195 / Youth (16+17 yo) $145 / Kids (under 16) $10

  • Youth ticket holders will need a Burner Profile and must attend Burning Seed with their legal parent or guardian

  • You can purchase a maximum of 2 adult tickets (and both people will need a Burner Profile)

  • A small percentage of tickets are held back for critical event crew as well as returning theme camps to reduce any risk to the core event infrastructure

  • There is a cap on the number of tickets, having a Burner Profile does not guarantee you a ticket

  • No free tickets, everyone pays

Ticket Prices

A number of factors go into determining the ticket price each year. The entire Burning Seed organisation continues to work to keep our costs low so that the burn continues to be accessible for as many people as possible. In saying that we continue to see cost pressures, especially in the areas of safety and regulatory services. This includes the costs of medics, security, ambulances and police. We also see the price of insurance continue to rise. Full details on how your ticket money was spent in 2018 will be published very soon.

The ticket price has only seen a small increase in the last few years ($185 in 2016 to $195 in 2017 and 2018) and serious consideration was given this year as to whether an increase was necessary to ensure the event was sustainable. After much deliberation the decision was made to keep the adult ticket price at $195 for 2019. Everyone at Burning Seed HQ* will therefore need to ensure a tight rein is kept on spending so that we don’t go over budget. We are all prepared for this and can assure you it won’t reduce the safety or quality of the burn.

A final note is that we feel it is highly likely that a small increase will be necessary next year. We won’t know this for sure until our finance team see how things end up after this year’s event and budgets are put together for 2020.

*Note: there is no actual HQ. We think it would be a fun place if there was.

Selling your ticket

Some people may purchase a ticket and end up, unfortunately, not being able to attend. If this happens to you and you have a friend or family member who wants to purchase your ticket then you can sort out the financials between yourselves and then transfer the ticket directly through Quicket. The person purchasing the ticket will need to have created a Burner Profile. Once the transfer occurs your original ticket is cancelled and a new one is issued to the purchaser. Do not sell your ticket above face value.

If you don’t know anyone who wants to purchase your ticket then please wait until tickets sell out, at which time we’ll launch our Secure Ticket Exchange Program (STEP). It is an automated online system that matches people with unwanted tickets with those desperate to attend. Full details will be released closer to the launch.

Kids Tickets

We love our junior Burners and Kids tickets, for those under 16, are $10 (plus fees). There is no need for kids to have a Burner Profile as their tickets are linked to the profile of their parent or guardian. There is no cap on kids tickets and they can be purchased right up to and during the event. Kids tickets must be purchased online, there are no gate sales.

Theme Camp Applications: Now Open!

Theme Camp Applications Now Open

The Theme camp team is happy to announce that theme camp applications are now open for Burning Seed 2019. The application window will be open for three months and close on the 31st of May. Theme camps are the interactive core of Burning Seed and we are excited to see what the camps  will bring this year.

Becoming a registered theme camp at Burning Seed provides your group with a number of great benefits:

  • Your camp will have an allocated space on the paddock. This means you will be placed in an area that best fits the needs and theme of your camp.
  • Your camp will be listed on our site map and in our What Where When guide along with any events you want to run. The site map and WWW guide will be handed out to all participants at the event.
  • Your camp will be able to share information on Burning Seed’s social media sites.
  • Your camp may also be eligible for grants to help offset some of your expenditure.

So You Want To Be A Theme Camp?

All information required to apply to be an official theme camp for 2019 can be found at: http://burningseed.com/themecamps/

At the bottom of the page you will find a downloadable application pack which contains all necessary forms to complete and guides to help you in that process.

Important: You will not be able to complete the online application without uploading completed Memorandum of Understanding, Risk Assessment and LNT Plan forms. When the forms have been completed, you are ready to move onto the online application.

The link to the online application is found at the bottom of the theme camp web page. Once submitted a member of the Theme Camp Team may contact you for any clarification we may need and you will be able to edit your online form at anytime. Once completed you will hear from us in June on whether you have been accepted as an official theme camp for 2019.

Burning Seed can only offer placement to a limited number of theme camps.  In 2019 we will be offering placement to 60 camps. The number is limited based on the size of the site and to ensure a good ratio of camps.  Successful camps will be selected by the Theme Camp Team based on the following criteria:

  1. Previous performance at Burning Seed – Did your camp turn up? Did you do what you said you were going to do in your previous application? Were you just generally awesome? Did you MOOP or did you Leave No Trace?
  2. Variety – One of the best things about a burn is heading off on an adventure and not knowing what you’re going to find. Our aim is to provide a wide range experiences for everyone that make the journey to Burning Seed.  Offer something unique and you’re almost guaranteed a spot.
  3. Aesthetics – Will your camp look visually spectacular? Will you be a shining beacon in the night?
  4. Inclusivity – Are you open to everybody or catering for a select few?
  5. Safety – Safety First not third.
  6. Run Times – Are you open for business 24/7 or planning to only run 1-2 short events? We acknowledge running a camp is hard work and everyone needs some time off, if you’re only running a couple of events we suggest you think about if your camp can provide an open or shared space when you’re off partying.  We highly recommend sound camps limit themselves to 3-4 events.

The MOOP Map for Seed 2018 is Here!

Our Moop Map for Burning Seed 2018 is now live! Please read below for some important information on why MOOP prevention is so important, why we release a map and what the different status assigned to camps and areas mean (and what this means for those camps at Seed 2019).

So what's the big deal with MOOP

We call Matong State Forest home for a week (or more) - however it is home to numerous plants and animals all year round. Leave No Trace is one of the 10 principles of Burning Seed and ensures that we leave Matong in the same (or better) condition than when we arrived. MOOP (matter our of place) is anything that we leave behind at Matong State Forest that should not be there.

Who is responsible for MOOP

Every. Single. Person. That's right - if you go to Seed, you are responsible for MOOP. This means taking everything away with you, educating others if you see them leaving trash behind and generally being a good burner 🙂 We educate the community on MOOP throughout the year via Facebook posts, blog posts and have sections about MOOP in both our Survival Guide and What, Where, When Guide.

MOOP at Burning Seed 2018 - Some Stats

The team spent 4 days MOOPing. This consisted of 15 people on the Wednesday, 5 on Thursday, 2 on Friday and 2 on Saturday. Here is just some of what they found:

  • 8 large garbage bags of poop - yep poop
  • 8 bicycles
  • 2 pallet loads of lost property
  • 1 tent with all the trimmings
  • 3 star pickets
  • 2 boxes full of rubbish
  • 1 car battery
  • 1,000,000 vomits, cigarette butts, sequins, tent pegs, food scraps, cable/zip ties (not actually a million but A LOT)

What is the MOOP map?

Every year our MOOP teams scour the Burning Seed side at the end of the event. They chat with camps, educate people and ensure that all MOOP is taken care of. After everyone leaves they do a thorough sweep of the whole site, and record any MOOP that has been found (including taking photos). Theme Camps and general camping areas then receive a green, yellow, red or black status.

What do the different status' mean?

  • Green - bestowed with the honorary title 'MOOP Angels', a green status means your area contained no MOOP at all!
  • Yellow - means your area contained up to a tea cups worth of MOOP.
  • Orange - your area contained more than a tea-cups worth, but less than 1/2 buckets worth of MOOP.
  • Red - bestowed with the title 'MOOP POOS', a red status is given if your area contained a buckets worth of MOOP, or if there were any fire hot spots (not allowed at Seed) or glaring piles of cigarette butts.
  • Black - a significant amount of MOOP was found.

Across 67 Theme Camps, the ratings awarded are as follows:

  • 1 Black
  • 3 Red
  • 7 Orange
  • 17 Yellow
  • 39 Green

What happens if I received a yellow, orange or red status?

Camps who received a yellow status will receive a point against them, carried over into 2019. Camps with an orange status may not receive 1/2 their grant for 2019. Camps with a red status may not receive any theme camp grants 2019.

How about black status?

The infamous black status is given to a camp that left a considerable amount of MOOP behind or destruction of the theme camp area. Theme Camps who receive a black status will not be invited to bring their camp back to Seed 2019. You will also be shown as black on the MOOP Map.

What are the interaction symbols all about?

This year, our MOOP crew have added an interaction rating to each of the Theme Camps within the map. After the event ends and during pack down, the LNT Team do a preliminary sweep of the site. Each of the theme camps are required to make an appointment with LNT before leaving site, where LNT will point out if MOOPing is going well, say needs to be improved and suggest anything else to consider.

Some Theme Camps welcome LNT with open arms - and others do not. Therefore LNT have rated their experience with the camp from amazing to rude! If a Theme Camp didn't make an appointment and LNT didn't get to talk to them, then the interaction is simply 'No Show'. We feel the ratings are really important for the following reasons:

  • A camp could have left no MOOP and achieved a green status - and yet been rude or unhelpful, or taken a lot of work to get there.
  • Equally, a camp could have received. yellow, orange or red status - and yet been very polite and super helpful.

In Search of a Ticketing Lead

Do you want to help make a difference to the thousands of people who attend Burning Seed? Got some ideas for improving the Secure Ticket Exchange Program (STEP)? Want to get involved in Burner Profiles and make the ticketing of the event run smoothly? Want to volunteer in a role, but not put in any hours on site? Well, we may have just the ticket! (oh dear).

We're looking for a new Ticketing Team Lead to start with Burning Seed as soon as possible. This is a role that is year round (just 1-2 hours a week and more in the lead up to Seed), but that doesn't involve any commitment on site at the event. As well as managing the ticketing process, the Ticketing Team Lead responds to all ticket enquiries from participants, and communicates with ticket holders in the lead up to the event.

If you're a good communicator, organised and have ideas about how we can take our ticketing to the next level, we'd love to hear from you. Previous experience with ticketing is desirable but not essential.

Theme Camps Update for 2019

Happy new year everyone from the theme camp team! We hope that you are as excited as we are for Burning Seed 2019. Theme camps always have and always will be a major source for creativity, interactivity, community and good times out there on the paddock. We cannot wait to see what you will bring and we will assist you in making the theme camp experience for everyone involved better than ever.

First some important points:

  • Theme Camp Applications open 1st of March and close 31st of May.
  • Memorandum of Understanding, LNT Plan and risk assessment or Safe Work Method Statement (SWMS) paperwork must be completed and submitted as part of your initial camp application.

Team Update

There have been several changes to the Theme Camp Team this year. First off we would like to thank Nty for his many years in the Theme Camp Team Lead position. Nty has spent many hours behind and in front of the scenes supporting Burning Seed and he continues to do so with oversight and guidance as the Curation Arts & Culture (CAC) Co-Facilitator. For that we thank him and look forward to collaborating with him this year.

To fill his shoes, Aidan McCarthy and Sam Clemens are the new co-leads of Theme Camps . We have tried to pull together the best team possible to move theme camps forward this year. We have Shane Kilcullen filling the 2IC role, Lisa Dyer-Randall as the Early Entry Coordinator and Rowan Kos returning as the Placements Coordinator. We are immensely grateful to have such an experienced and passionate group of people available to assist all theme camps getting to Burning Seed this year.

Theme Camp Applications

After each Burning Seed, the Theme Camp Team looks at what they can do as a team to improve the experience for everyone involved. In 2018 we saw delays in submissions of important and necessary documentation from participating theme camps. This resulted in several issues including town planning delays, map availability and increased workload chasing up camps.

In 2019 we're aiming to alleviate this by moving the opening and closing dates for theme camp registration forward one month. Theme camp registrations will officially open on 1st March and close on 31st May. Moving the theme camp registration dates forward a month will allow us to have more time to identify and solve any issues that may arise before the event, and give us more time to place and assist theme camps in being the best they can be.

To make the theme camp registration process as smooth as possible, we’re also making changes to the due date for the necessary paperwork required. Crews wishing to apply as a theme camp in 2019 will be required to submit a completed Memorandum of Understanding, risk assessment or Safe Work Method Statement (SWMS) and LNT plan as part of their initial theme camp application. Only once we have received the required documents will the theme camp application be considered. The Theme Camp Team are available and happy to assist in the application process to those who request advice or information. We are here to help!

Grants

Theme camps are a central part of the experiences made at Burning Seed. We will always make the case for continued and greater support from the Burning Seed Organisation. To reflect this, Theme Camp Grants will be receiving a greater proportion of revenue in 2019. As a result in addition to the regular returning theme camp grant, we will introduce larger grants to theme camps or villages that apply for them.

These grants aim to encourage the talented people involved in theme camps to generate art, encourage interactivity, increase cooperation and to enable the growth of new camps. This new funding model was created through community feedback to create a funding model that reflects community and Seed Org goals into the future. We look forward to giving you more information in future blogs once a grants framework has been put in place and we have a clearer picture of the funding available.

Zoophemism Theme Design – Enter Now!

Hey Burners - it's that time again! With Burning Seed on the horizon, we are now launching the Burning Seed 2019 Event Theme Design. Whether you are a professional or amateur graphic designer, an artist or a cat-person - if you have a design in mind, we'd love to see it!


What is the Theme Design process all about?

Every year we select a unique theme to inspire the art, costumes and events you experience at Burning Seed, and with the theme in 2019 being Zoophemism - it should be an interesting one!

We then call out to YOU the community to show us your design skills and create the face of the design.


What does this actually mean?

We want you to interpret the theme of Zoophemism and design a poster based on this interpretation. After entries close, the winning theme design will be voted on by Burning Seed Facilitators and Team Leads.

The winning design will then be magically transformed (not actual magic) into all of our event collateral including our WWW Guide, Survival Guide, wristbands, tickets, stickers (returning for 2019!), website banners, Facebook images, promotional materials/posters and more!

Wait, so I have to design all of those things?

 

Nup! We only need you to design the poster. If yours is the winning design, our Design Team Lead will apply your design to all of the things, and work with you to ensure the design is able to be adjusted as necessary.


Me, me, me! How about the rules?

There are no rules! Apart from the specs of the submission, the rest is completely up to you. You are free to interpret the theme in whichever way you wish so let your imagination run wild. We have had some amazing submissions in the past and we really want to see what Zoophemism means to you!

The Theme Design & Submission Process

The theme design is now open and you have just over 5 weeks to submit your design - but don't leave it to the last minute and miss out! We will be giving you a couple of reminders along the way. You can also submit more than one design if you wish - just use a separate application for each.

Here are the key dates you need to know:

  1. 31st January (thats today!) - Theme Design Opens
  2. 15th March - Theme Design Closes
  3. 22nd March - Winning Theme Design Announced

The Burning Seed secretary pushes the paper, does the organising and creates the scaffolding on which the dreamers, artists and planners build Burning Seed. It’s a crucial role in our organisation, scheduling and taking minutes at all high-level meetings, and delivering those meetings to all appropriate parties afterward. In short, you would be the grease in everyone’s wheels. The time commitment is about 10 hours a month throughout the year.

Calling for members of the new not-for-profit!

Remember that one time we decided to redesign our beloved Seed from the ground up?  Look no further if you need a quick reference. Born of blood, sweat and tears, the Restructure Committee has begun to use the findings of this recently produced report to design a new entity, including a shiny new membership model.

As part of this, we want to understand who is actually interested in becoming a member, because, you know, that’s kinda important.  Admittedly, while conscription would have been much less logistical overhead, this probably wouldn’t have represented the community that well!  So once again, we’re excited to see that classic burner enthusiasm translate into cold, hard expressions of interest.

We need to find the members before we do anything else – basically, the feedback from the consultation was that you lovely folk feel that it should be members who choose the directors. So we need to work out who the members are before we can do anything else.

In keeping with that whole freedom of choice thing, this expression of interest in no way constitutes an obligation – how much effort you want to put in from this point on is entirely up to you.  We’re looking to gauge community interest so our magical Seed elves (which I will now be seasonally referring to the Restructure Committee as until I’m told it’s getting old) can start cranking out the shiny new toys.

For now, those who want to be a member will be asked to decide on who the directors are. After that, the directors and members will need to agree on the privileges and obligations of members – but that’s a task for later.
